Coronavirus Update: SCSC Spring'20 Program Close-out

As all of you are probably aware, the leagues our teams play in have either been cancelled (Thruway League) or have identified an “earliest start date” and a set of guidelines that make playing a low probability (BCSA).  The only remaining New York State West Youth Soccer Association (NYSWYSA) program still on-going is State Cup. Four of our teams will be competing.  At the end of this email is NYSWYSA’s latest communication for your information.


As difficult as it is on all of us to come to grips with the spring season being lost to the COVID-19 pandemic, the Board of Directors has agreed it is time to acknowledge this reality.  This communication is intended to inform our members about the Club’s direction on how we plan to address the issues of unspent/uncommitted Spring’20 Program registration income and reimbursement of Spring 2020 registration fees.  


While we would like to be able to offer everyone a full refund, the reality is this is not feasible.  Our spring season expenses started back in early October 2019 with try-out and Spring season advertising. Expenses have continued throughout every month since.  In fact, at this time the Club has already spent ~51% of the collected Spring’20 fees.  Those expenses and their approximate percentage of our spring registration income are noted below:

  • Payroll – 20% (the Club continues to be one of the few in our area with salaried Directors of Coaching and a Registrar)
  • Indoor Practice Space Rentals – 11%
  • Player Registrations, Passes and Coaches Passes/Licenses – 8%
  • Credit Card Processing Fee at Registration – 4%
  • State Cup – 4%
  • Insurance, Taxes, Accounting Fees – 2%
  • Advertising – 2%


The above expenditures occurred prior to any stipends paid to our coaches, which the Board has already approved, and will result in an additional expense.  Our coaches are the lifeblood of our organization and a stipend for their time and effort in the winter, along with communications in the spring, is well merited, deserved and essential.


With the above as context, our Board has approved the following: a 50% reimbursement of each player’s registration fee, minus any multi-player discounts, late fees or scholarship coupons.  Each family will have the choice about how they would like to handle their reimbursement (or what we will call their ‘registration fee balance’).  Families will have the opportunity to request a refund, have a credit applied to their SCSC account, donate their balance to the Club, or request a combination of the previous options.


Requests will be collected via the link below.  Please take a minute to tell us how you’d like your ‘registration fee balance’ processed for each player
.  We will collect these requests through the end of June and process them as quickly as possible.  We ask for your patience as we process the more than 250 expected requests.  If no request is made by June 30th, the Club will assume you have donated the ‘registration fee balance’. (If this is the option you choose, thank you in advance for your generosity.)
